Background

 

 

The purpose of this document is to document the BDPA Corporate Advisory Council’s (CAC) charter for 2004.  The charter will outline:

 

  • The CAC’s Mission and how it supports the overall Mission for the BDPA Cincinnati chapter

  • The Operating Principles which outline how the CAC will work with the chapter

  • The Goals and Objectives for the 2004 fiscal year

  • CAC Membership and Structure

  • Supporting Information available to CAC and the BDPA Corporate Sponsors

 

This document will be presented for approval by the CAC at the March meeting.  This document will be in place for the 2004 fiscal year and can be used as the foundation for the charters in future fiscal years.

 

 

CAC Mission

 

The CAC Mission is a supporting mission of the overall BDPA Cincinnati Mission Statement.  It is in place to highlight CAC’s specific role in the success and future growth of the local Cincinnati chapter.  This mission also highlights the role of existing corporate and community sponsors. 

The Cincinnati BDPA Mission is:

“BDPA Cincinnati Chapter is a global member-focused technology organization that delivers programs and services for the professional well being of its stakeholders.”

 

The following is the 2004 CAC Mission statement:

 

“The Cincinnati BDPA CAC is a group of corporate and community decision makers whose purpose is to help the Cincinnati BDPA chapter achieve their goals and objectives, and to help them expand and grow their level of support and influence within the Cincinnati and northern Kentucky communities”

 

 

CAC Operating Principles

 

Operating Principles are rules that govern behavior.  They are not as specific as the fiscal year Goals and Objectives.  They help the group, as well as those outside the group, understand how this council intends to operate. 

 

CAC Operating Principles include:

 

  • Honest and open communications at all times

  • Always “walking the talk” in support and focus on the BDPA Mission

  • Creative problem solving to help the chapter make progress and achieve its goals

  • Quick communication, problem solving and resolution of corporate support shortfalls

  • Regular CAC meeting attendance and involvement in BDPA activities

  • Regular communications and connection to the corporate sponsors of the BDPA

  • Regular support for BDPA outreach efforts especially newsletter content, monthly meeting topics/speakers, and expansion of the corporate sponsorship. 

 

The BDPA board and CAC are very aware of the personal time commitment involved in this kind of council.  The BDPA board and CAC respect a persons need to withdraw from the council due to personal or work commitments.  In support of the principle of honest and open communications, the BDPA board and CAC ask if someone feels they cannot commit the time necessary, that they work with the CAC to identify a potential replacement and an exit strategy based on any outstanding commitments.  

 

 

CAC Goals and Objectives

 

The Goals and Objectives are quantifiable measures in support of the overall Cincinnati BDPA goals and objectives.  The goals listed below are taken from the chapter Goals and Objectives defined during the Annual Planning and Strategy session.  Goals and Objectives for the 2004 fiscal year include:

 

  • Help the chapter achieve its goal of $30,000 in financial sponsorship.

    • Renew all corporate sponsors

      • Provide the necessary support information to existing corporate sponsors on a timely basis to ensure corporate budgetary approval

      • Meet or talk regularly with the internal champion to discuss BDPA relationship and value to the organization.

    • Add three new sponsors

      • Maintain a list of existing and target corporate sponsors and supporters.  

      • Attend regular marketing calls to track progress towards finding new sponsors.

 

  • Help the chapter achieve its goal of reaching and maintaining chapter membership of 275 by actively recruiting new members within our organizations and within our professional network. 

    • Support member retention goal of 75% by continuing support of employee memberships in BDPA

 

  • Support the SITES High School Computer Competition Training

    • Solicit employees who might be interested in teaching.

    • Provide supporting materials (including textbooks) and equipment.

    • Support the Midwest Computer Competition by

      • defining the competition problem

      • providing and organizing the judges

      • providing support through in-kind supplies, equipment and services

    • Provide airplane tickets for the team to compete in the National competition. 

 

  • Continue integration of the CAC and corporate sponsors and supporters.

    • Help each company achieve their goals for a relationship with BDPA. 

 

  • Continually review BDPA chapter financial status and challenge each other to seek answers through corporate and community support.

 

  • Support BDPA fund raising and communication efforts by:

 

    • buying tables/tickets and speakers for BDPA events

    • providing marketing support including newsletter content,

    • personal attendance to BDPA events

 

  • Provide support for the annual National Board of Director meeting. 

 

  • Regular attendance to bi-monthly CAC meetings.

 


 

CAC Organization and Structure

 

Membership

 

The CAC is a group of corporate and community decision makers representing public or privately held corporations, educational institutions, and government agencies.  The CAC members are senior managers and entrepreneurs whose companies have been sponsors or supporters of the Cincinnati chapter.  These managers volunteer their time.  As of the writing of this charter, there are 11 active members on the CAC.  The membership may expand in the 2004 fiscal year depending on the addition of new corporate sponsors.  The key to CAC membership is DECISION MAKER and ACTIVE PARTICIPATION.  As a group we need to continue to respect people’s personal and work commitments.  We need to openly discuss and potentially shift participants if we are not operating efficiently as a group.

Officers

 

The BDPA board and the CAC will elect a chairperson for the CAC to serve a term of two fiscal years.  The chairperson will conduct meetings, provide pertinent communications, and monitor progress towards fiscal year goals.  The CAC will monitor CAC member participation and the need to add or adjust CAC membership.

 

 

Meetings

 

The CAC will meet bi-monthly for a lunch meeting on the third Wednesday of the month (January, March, May, July, September, and November).  BDPA events and important planning schedules may require a change to these meeting schedules.  CAC members will volunteer to host the meetings and provide lunch.  If possible, dial-in conference call capabilities will be provided for those who cannot attend in person.

 

The CAC will meet with the BDPA directors in a joint annual Strategy and Planning workshop held in either October or November.
